Farewell hoodies are a memorable piece of college merchandise, but organising the order takes more than choosing a design. The batch needs to agree on the product, artwork, quantity, sizes, personalisation and delivery date before production begins.
This guide explains how to plan farewell hoodies without avoidable size errors, artwork changes or last-minute delivery pressure.
Start with the purpose of the hoodie
Decide whether the hoodie is for the farewell event only, regular use after graduation, a batch identity or a combination of these. The answer affects the design, fabric, fit, colour and budget.
If the hoodie will be worn regularly, prioritise comfort, care requirements and a versatile design. If it is mainly for the event, visibility and group identity may be more important.
Choose the hoodie style and fabric
Compare pullover and zip-up styles based on how the batch will use the hoodie. Ask about fabric composition, approximate GSM, inner finish, fit, available colours, size range and care instructions.
Do not choose only by a product photograph. Ask for the actual size chart and clarify whether the measurements refer to the garment or the person.
Plan the design before collecting orders
Decide the batch name, graduation year, college or department reference, event name, mascot, sponsor marks and any personalisation before collecting sizes. Too many elements can make the design difficult to read.
Keep front, back and sleeve placements clear. A small chest mark, large back graphic and sleeve text are separate production requirements and should be listed in the brief.
Names and numbers need a separate approval list
If students want names, numbers or roles on the hoodie, keep personalisation in a separate list from the master artwork. Record the name, size, spelling, number and design version for every person.
Ask one responsible organiser to approve the final list. Do not treat individual chat messages as production approval.
Collect sizes with one form
Share the current product size chart and use one form for the entire batch. Ask for the student’s name, course or group if needed, selected size, personalisation and confirmation that the chart was checked.
Close the form at a clear deadline. Then check blank entries, duplicate names, unusual size selections and changes received outside the form. Prepare a final size-wise count before requesting the quote.
How many farewell hoodies should you order?
Separate confirmed student quantities from organiser pieces, faculty pieces, replacement stock and late additions. If the batch is also selling hoodies, keep sale inventory separate from the confirmed wearer list.
Only order additional pieces when there is a clear use and the budget supports it. Extra stock does not replace the need for an accurate size collection.
Approve the artwork on the real garment colour
Ask for a mock-up showing the design on the chosen hoodie colour at the approximate print or embroidery size. Check spelling, dates, colours, sponsor marks, small text and every design version.
Approve one final version before production. Changing artwork after size collection can create confusion about which design each person ordered.
Plan the delivery date backwards
Start with the date the batch needs the hoodies in hand, not only the farewell event date. Allow time for quotation, artwork approval, size collection, production, quality checking, packing and transport.
Tell the supplier the required-by date in the first enquiry. If students are in different cities, clarify whether delivery is going to one coordinator or multiple addresses.
What should the quote brief include?
- Hoodie style, colour and fit
- Fabric preference or intended use
- Total quantity and size-wise breakup
- Final artwork and print locations
- Names, numbers or personalisation list
- Packaging and sorting requirements
- Delivery city or cities
- Required-by date
A complete brief lets the supplier recommend a suitable option and reduces changes after approval.
Common farewell hoodie mistakes
- Collecting sizes before the product and size chart are final
- Using different artwork versions in different chat groups
- Leaving sponsor marks or personalisation until the end
- Comparing hoodies with different fabric or fit specifications
- Forgetting organisers, faculty or volunteers in the quantity
- Sharing the event date but not the required delivery date
- Ordering extra pieces without a clear purpose
